Catering Terms & Conditions

Welcome to African Meals and Snacks (AMAS). We are honored that you are considering us for your special event. Our goal is to provide exceptional food, outstanding service, and an authentic African culinary experience. To ensure clarity and a successful event, the following Terms and Conditions apply to all catering orders.
By requesting a quote, confirming a booking, placing an order through our website, signing a catering agreement, or making any payment, you acknowledge that you have read and agree to these Terms and Conditions.
1. Booking Confirmation
A catering reservation is not confirmed until:
- AMAS confirms availability in writing.
- The customer accepts the proposal or quote.
- The required deposit has been received.
AMAS reserves the requested date exclusively for the customer once the booking is confirmed.
2. Minimum Catering Order
AMAS currently accepts catering orders beginning at a minimum of $1000 before taxes and applicable service fees. Minimums may vary depending on travel distance, staffing requirements, event size, and service style.
AMAS reserves the right to establish different minimums for weddings, corporate events, festivals, holidays, and peak-demand dates.
3. Deposit & Payment
- A 50% non-refundable booking deposit is required to reserve your event date.
- The remaining balance is due no later than 10 calendar days before the event.
- Events booked within 10 days of the event date require full payment at the time of booking.
- No food preparation or staffing will begin until payment requirements have been satisfied.
Failure to make payment may result in cancellation of the reservation.
4. Cancellation Policy
Because catering requires advance purchasing of ingredients, staffing, scheduling, transportation, and preparation, cancellations affect our ability to accept other events.
- More than 45 days before the event: AMAS may issue a credit toward a future event, at its discretion, after deducting any non-recoverable costs.
- 30–45 days before the event: Credits may be available depending on expenses already incurred.
- Less than 30 days before the event: Payments are generally forfeited because food, labor, and operational costs have already been committed.
Credits, if approved, are generally valid for 12 months from the original event date and are non-transferable unless approved by AMAS.
5. Event Rescheduling
We understand that circumstances sometimes require a change of date.
One reschedule may be accommodated without penalty if:
- The request is made at least 30 days before the original event date, and
- The new date is available.
Additional rescheduling requests or changes made within 30 days may be subject to additional charges.
6. Guest Count & Menu Confirmation
The final guest count and menu selections must be confirmed no later than 10 days before the event.
After this deadline:
- Guest counts generally cannot be reduced.
- Menu changes may not be possible.
- Additional guests may be accommodated when feasible and may result in additional charges.
7. Food Allergies & Dietary Restrictions
Customer safety is extremely important to AMAS.
Customers are responsible for informing AMAS in writing of:
- Food allergies
- Religious dietary restrictions
- Medical dietary requirements
- Vegetarian or vegan requests
- Ingredient sensitivities
While AMAS will make every reasonable effort to accommodate these requests, food is prepared in commercial kitchens where common allergens may be present.
AMAS cannot guarantee an allergen-free environment and is not responsible for reactions resulting from undisclosed allergies or cross-contact beyond our reasonable control.
8. Food Safety
AMAS prepares food using licensed commercial kitchen facilities while following applicable federal, state, and local food safety regulations.
Food delivered or served should be consumed promptly. Once food has been delivered or service has concluded, customers are responsible for proper storage, refrigeration, reheating, and handling.
AMAS is not responsible for food that is improperly handled after delivery or service.
9. Delivery & Event Access
Customers agree to provide accurate information regarding:
- Venue location
- Delivery instructions
- Parking
- Loading access
- Venue restrictions
- Contact person
- Setup time
Additional charges may apply for extended travel, difficult access, stairs, long carrying distances, parking fees, or venue restrictions.
10. Rentals & Equipment
Any serving equipment, chafing dishes, utensils, beverage dispensers, or other rental items provided by AMAS remain the property of AMAS unless otherwise agreed.
Customers are responsible for damaged, lost, or unreturned equipment.
11. Service Delays & Force Majeure
AMAS shall not be liable for delays or inability to perform services resulting from circumstances beyond our reasonable control, including but not limited to:
- Severe weather
- Natural disasters
- Government actions
- Public emergencies
- Venue closures
- Traffic accidents
- Power outages
- Equipment failures
- Labor disruptions
In such cases, AMAS will make reasonable efforts to reschedule or provide an alternative solution.
12. Website Orders
Orders submitted through the AMAS website are requests until confirmed by AMAS.
Submission of an online order does not automatically guarantee availability.
AMAS reserves the right to contact customers regarding scheduling, menu adjustments, pricing corrections, or availability before confirming an order.
13. Pricing
Prices are subject to change without notice.
Once a written quote has been accepted and the required deposit has been received, pricing for that event will generally be honored unless the customer requests significant changes.
14. Photography and video
Unless otherwise requested in writing, AMAS may photograph or take videos of food displays, catering setups, and presentation tables for marketing and promotional purposes.
Customer privacy will always be respected. AMAS can use these images for any promotional purposes without asking for any further permission from the customer.
15. Liability
AMAS maintains appropriate business insurance and is committed to providing safe, professional catering services.
To the fullest extent permitted by law, AMAS shall not be liable for:
- Undisclosed allergies or dietary restrictions.
- Food that is improperly handled after delivery.
- Delays caused by circumstances beyond our control.
- Customer-provided equipment or facilities.
- Errors resulting from inaccurate information supplied by the customer.
16. Customer Conduct
AMAS reserves the right to discontinue services if staff members are subjected to abusive, threatening, discriminatory, or unsafe behavior.
17. Governing Law
These Terms & Conditions shall be governed by the laws of the State of Washington.
18. Acceptance
By submitting a catering inquiry, placing an order, signing a catering agreement, or making payment, the customer acknowledges that they have read, understood, and agreed to these Terms & Conditions.
